Privacy policy

Apex GP Academy Incorporated ("Apex GP", "we", "us", "our") runs a junior MiniGP pathway and retail store on Auckland's North Shore. We respect your privacy and are committed to protecting the personal information you share with us. This policy explains what we collect, how we use it, who we share it with, and your rights. It applies to our website apexgp.co.nz, our stores and events, and any lead or enquiry you submit through our advertising, including Meta (Facebook and Instagram) lead ads.

We handle personal information in line with the New Zealand Privacy Act 2020 and its Information Privacy Principles. By using our website, buying from us, joining as a member, or submitting your details through a form or advertisement, you agree to this policy.

Who we are

The organisation responsible for your personal information is:

  • Apex GP Academy Incorporated
  • 19 Tarndale Grove, Rosedale, Auckland, New Zealand
  • Email: George@apexgp.co.nz
  • Phone: +64 21 98 1207

If you have any question about this policy or how we handle your information, contact us using the details above. You can also message us through our Facebook page or Instagram account, and we will respond to reasonable requests for more information about how we use your data.

Information we collect

Depending on how you interact with us, we may collect:

  • Contact and enquiry details: your name, email address, phone number, and the content of your message when you use a form on our site, book a demo ride, or contact us.
  • Booking and order details: information needed to process a Beginner Day booking, membership, or shop order, including billing and contact details. Payments are processed securely by our payment providers; we do not store full card numbers.
  • Membership and rider details: for club membership, the parent or guardian's contact details and the registered rider's name and date of birth, provided by the parent or guardian.
  • Health and safety information: where you complete a participation agreement or waiver, limited medical and emergency-contact information you choose to provide, used only for rider safety.
  • Lead and advertising data: information you choose to send us through an advertisement or lead form, such as your name and email address (see the Meta lead ads section below).
  • Website and device data: cookies and similar technologies may collect information such as your IP address, browser, pages viewed, and how you found us, to help the site work and to measure our advertising.

We do not seek to collect sensitive information beyond what is described above, and we do not knowingly collect information that is prohibited by Meta's Advertising Standards.

How we use your information

We use personal information to:

  • respond to your enquiries and provide the service or information you asked for;
  • process and fulfil bookings, memberships and shop orders;
  • administer club membership and keep the members' register required of an incorporated society;
  • run activities safely, including acting on health and emergency information in the event of injury;
  • send you updates, offers and club news where you have asked to hear from us or where the law allows, with an easy way to opt out;
  • improve our website, products and advertising; and
  • meet our legal obligations.

We only use your information for the purpose it was collected for, or a directly related purpose you would reasonably expect. If we want to use it for something else, we will ask for your consent.

Meta lead ads and advertising leads

We advertise on Meta platforms (Facebook and Instagram) and may use lead generation features that let you send us your details, such as your name and email address, directly from an ad. When you submit your details through one of our lead ads:

  • we use that information only for the purpose described in the ad's call to action (for example, to answer your enquiry about the pathway, a Beginner Day, or a current offer), unless you agree to another use;
  • we never sell your lead information to anyone, under any circumstances;
  • we only share it with service providers who help us operate (see "Who we share information with"), and only so they can carry out that same purpose;
  • we apply appropriate security measures to protect it against loss, misuse and unauthorised access;
  • we honour any offer terms shown in the ad, and any consents you gave when you submitted your details; and
  • our lead ads are not targeted at, or intended for, people under 18.

Your use of Meta's platforms is also subject to Meta's own terms and policies. This policy governs how we handle the information you send us.

Children and young riders

Our activities are for junior riders, but our website, shop and advertising are directed at parents and guardians, not children. Where we hold information about a rider under 18, it is provided by that rider's parent or legal guardian, who is responsible for consenting on the rider's behalf. We do not knowingly collect personal information directly from children through our website or advertising. If you believe a child has provided us information without a parent or guardian's involvement, contact us and we will delete it.

Who we share information with

We do not sell your personal information. We share it only where needed to run our business or meet the law, including with:

  • Shopify, which hosts our online store and processes orders;
  • Meta Platforms, for advertising and lead generation;
  • payment providers, to process payments securely;
  • email and IT service providers that help us communicate with you and run our systems; and
  • government agencies or others where required or permitted by law.

Where we use service providers, we require them to protect your information and to use it only to provide services to us. Some of these providers are based overseas, which means your information may be stored or processed outside New Zealand; where that happens, we take reasonable steps to ensure comparable privacy protection.

How we store and protect your information

We hold personal information in secure systems provided by reputable providers and apply technical and organisational measures appropriate to the sensitivity of the data to protect it against unauthorised or unlawful processing and against accidental loss, destruction or damage. No system is completely secure, but we work to keep your information safe and to limit access to those who need it.

How long we keep it

We keep personal information only as long as we need it for the purposes described in this policy, to run the club and our business, and to meet legal and accounting requirements. When we no longer need it, we securely delete or de-identify it.

Your rights

Under the Privacy Act 2020 you have the right to:

  • access the personal information we hold about you; and
  • request correction of information that is wrong or out of date.

To make a request, or to unsubscribe from marketing, contact us at George@apexgp.co.nz. We will respond as soon as reasonably possible. If you are not satisfied with how we handle your information or your request, you can contact the Office of the Privacy Commissioner at privacy.org.nz.

Cookies and tracking

Our website uses cookies and similar technologies to make the site work, remember your preferences, and measure our marketing, including tools provided by Shopify and Meta (such as the Meta pixel). You can control cookies through your browser settings; blocking some cookies may affect how the site works.

Marketing

We will only send you marketing where you have opted in or where the law otherwise allows, and every marketing message includes a way to unsubscribe. You can opt out at any time by using the unsubscribe link or by contacting us.
